Travel Planning - Our step-by-step process!

Find out more about our planning processes, from the first moment of contact through to post-tour.

Travel_Planning

Our partnership begins well before take-off. Once your proposal is confirmed, we provide full booking forms, terms and conditions, and deposit details. You’ll also receive guidance on travel insurance and essential travel documents, such as passports, visas, and authorisations. With your deposit received, our operations team gets to work setting up your booking framework and building the foundation for a seamless group experience. At this stage, we…

Review potential flight routes and preferred carriers (flights typically come into range 11 months prior to departure).

Begin planning matches, workshops, performances, as well as educational or cultural experiences aligned to your group’s learning goals.

Research accommodation options and assess availability around major events to secure best rates.

Conduct early due diligence on feasibility, seasonality, and local events to ensure every activity fits perfectly.

As flights come into range, we present tailored airfare options and provide a balanced overview of carrier advantages, such as seat release timing, baggage allowances, and scheduling to suit your school’s needs.
At the same time, we…

Finalise preferred accommodation and lock in room blocks with flexible release policies.

Confirm land transport (coaches, trains, luggage support) ahead of peak travel seasons.

Continue aligning the itinerary to your school calendar, sporting schedule, or academic outcomes.

By now, your key inclusions, such as matches, workshops, performances, and special experiences are confirmed, with only fine details remaining to be refined. Every service, from ground transfers to guided activities, is locked in.

Our goal is simple: ensure nothing is left to chance, so your team can focus on preparation and anticipation, not logistics.

We issue your interim instalment invoice and begin the second phase of readiness.

Our team checks in with reminders for:

Travel insurance confirmations

Passport and visa validity

Any specific flight adjustments, such as group luggage or equipment needs

Every detail is reviewed against your group’s requirements to ensure total confidence before your upcoming departure.

Your final balance invoice is issued (due two months prior to travel).

We collect all outstanding details:

Passport copies

Dietary and medical requirements

Any special arrangements needed by individual travellers. We also continue to reconfirm all supplier arrangements, so your itinerary runs smoothly.

Our operations team prepares your final itinerary draft and issues airline tickets.

We assemble comprehensive Tour Leader Packs, which include:

Contact lists and local support details

Rooming allocations

Participant summaries

Flight and logistics overviews

This ensures your tour leader has everything needed to manage the trip confidently on the ground.

With your itinerary finalised, we release all final travel documents. A dedicated Gullivers consultant hosts a video or phone briefing with your tour leader for a full review and Q&A session, confirming every detail before departure.

We send a personalised Bon Voyage email with a final checklist and departure reminders, ensuring everything is ready for take-off. Your group departs knowing every element has been handled with care and precision.

Upon your return, we send a Welcome Home message and provide a post-tour report form for feedback.

Your insights help us to keep refining our planning process to ensure each future journey is even better than the last.

Frequently Asked Questions

To assist you with the initial stages of planning your school’s tour, we have compiled a range of frequently asked questions. If you do not find what you are looking for here, please reach out to one of our dedicated consultants.

What types of group tours does Gullivers organise?

We specialise in educational and special interest group travel for schools, clubs, and organisations. Our tours focus on music, sport, culture, history, language and literature, and are offered both domestically and internationally.

Can tours be customised?

Absolutely. Every itinerary is tailored to suit the group’s goals, interests, and budget. We work closely with teachers, coaches, or group leaders to design a program that balances educational outcomes, fun, and meaningful experiences.

What benefits can a student gain from an overseas tour?

Travelling abroad can have a significant impact. It helps students to:

  • See the world from new perspectives through different cultures and lifestyles
  • Build confidence and independence by navigating new environments, transport systems, and social situations
  • Develop problem-solving skills, resilience, curiosity, and flexibility
  • Grow cultural awareness and empathy through real-world experiences
Can tours combine educational and leisure activities?

Yes. Many itineraries are designed to balance curriculum-linked experiences with cultural, recreational, and sightseeing opportunities.

Can performances, competitions, or workshops be arranged for our music or sports group?

Yes. For music groups, we can arrange concerts, masterclasses, workshops, and cultural exchanges. For sports teams, we can organise matches, training sessions, and visits to professional clubs or facilities.

Can you assist with planning future tours?

Absolutely. Many schools and clubs return annually or biannually, and we’re happy to assist with long-term planning.

How does the booking process work?

Begin by submitting our online New Tour Enquiry Form. Once received, you’ll be allocated a dedicated Gullivers tour consultant who will prepare a detailed proposal and quote. A deposit is required to secure the booking, with subsequent payments scheduled according to the tour’s booking conditions.

When should we book our tour?

We recommend booking at least 12 months in advance for both international and domestic tours, particularly for large groups or peak travel periods.

Can we use our own booking forms?

We understand schools often have their own approval processes. However, all participants (students and teachers) must complete the Gullivers online booking form. This ensures agreement to our terms and conditions and allows us to collect the essential information needed to manage the tour effectively.

Can we change our flights separately to the group’s flights?

This depends on the airline booked for the group tour. If you’re considering making changes, please first seek approval from your school or club and then contact Gullivers to discuss what may be possible.

Is a land-only option available?

In some cases, yes. Please approach your school or club first, as some institutions do not permit changes for duty of care reasons.

What is included in the tour price?

Most tours typically include flights, accommodation, local transport, guided activities, entry fees, and the majority of meals. Each quote clearly outlines inclusions and any optional extras.

How many meals are included – and is this the best option for your tour?

Meal inclusions vary by tour. Some groups prefer all meals included for convenience, while others enjoy flexibility to purchase meals locally. In many destinations, buying meals on the spot can be cost-effective and offer greater variety. We’ll help you strike the right balance.

Group booking – does it mean it’s discounted?

Group fares don’t automatically guarantee lower prices. However, they do offer benefits such as flexible name changes (up to a certain date), securing fares with a deposit, and delaying full payment until closer to departure.

Are passport copies required?

Yes. We require a copy of each traveller’s passport to ensure ticket names match passport details. Airline fees may apply if changes are required after tickets are issued.

Is group seating available?

We make every effort to seat groups together. However, depending on the airline, group seating may only be confirmed at airport check-in.

Can we change flights separately to the group booking?

This depends on the airline and ticket conditions. Always seek approval from your school or club before making any changes.

Do you assist with risk assessments and school documentation?

Yes. We provide guidance to support your school’s risk assessment and approval processes.

Are tour leaders provided?

Tours are generally led by teachers or club organisers. Where required, we can arrange experienced local tour managers or coordinators who are available 24/7 during the tour.

What travel insurance is recommended?

Gullivers recommends comprehensive travel insurance for all participants, covering medical expenses, trip cancellation, and baggage loss. We offer travel insurance through NIB, available via the Gullivers website.

What if a participant is unable to travel?

Cancellation and refund conditions depend on timing and airline or supplier policies. All terms are clearly outlined in the booking conditions.

Are dietary or medical requirements accommodated?

Yes. We collect this information prior to travel to ensure dietary needs and medical conditions are managed appropriately.

Can parents or other family or school community members join the tour?

This is determined by the school or organisation. Please check directly with them regarding participation.

Is post-tour feedback provided?

Yes. We actively encourage feedback from teachers, group leaders, and participants to help us continually improve our programs.

The experiences the students gained through travelling, attending workshops, visiting galleries, and immersing themselves in such a vibrant cultural environment were truly incredible.  Summer has not stopped talking about it since she returned. I know that international travel, especially with a group of students, comes with its own challenges, and I really appreciate the care, organisation, and energy you brought to the experience.  Helping Summer navigate those challenges made the trip more rewarding and meaningful for her. Thank you!

The singing audition workshop was an absolute highlight.  It clearly had a lasting impact, giving her a taste of the professional world and boosting her confidence. Incredible!!Summer also loved the galleries – you have unlocked a new appreciation for the beauty and depth of art!

Thank you again for your dedication and generosity.  It means so much to us as parents to know our children are guided by someone who goes above and beyond.

Highlight of the tour was the encore performance by Alicia Keys after seeing Hells Kitchen was a real ‘pinch myself moment’. An absolute joy and privilege it is to work with Sarah Gillham from Gullivers. Nothing is ever too much trouble for her, she approaches every task with such calm professionalism, warmth, and good humour.

Her many years of travel experience truly shine through in everything she does. It’s clear she genuinely loves her job, and her enthusiasm and care make every trip run so smoothly. Working alongside Sarah is always a pleasure, and I feel very fortunate to collaborate with someone so capable, thoughtful, and generous with her time and expertise.

Rugby Tour to Japan, 2025

The tour highlight for us was the school exchange at Higashi. It was an amazing experience that allowed our students and the Japanese students the opportunity to engage, learn and share cultural differences. Koji was an amazing host who made sure the staff and students were welcomed and felt special on the day. The whole day was exciting and a fun new experience that our students took so much away from. They spoke about it for the rest of the tour and are still telling stories about their exchange partners and what lovely young people they were.

I think that experiences like this are what we have come to build the tour around. Rugby is a fun experience, but seeing the students engage in this kind of cultural event, was a huge win for us and will enable us to continue going to Japan for these events. I can not thank the Gullivers team enough for the outstanding effort and professionalism displayed throughout the whole time working on this tour. We will look to be planning another Japan trip for the Rugby club in 2027.

European Strings Tour, 2023

Our tour planning was in excess of 12 months in the making, and, throughout that period of time, I appreciated the many hours the Gullivers team devoted to our planning. They were only ever a phone call away and always willing to listen and understand our requirements. Our tour was very complicated with the number of participants (77 students), the number of large instruments (300kg), and the shadow parent tour following us. But our tour surpassed all of my expectations. Everything was superbly organised, well planned, thoroughly thought through, and allowed us to add in the special touches and extra experiences that were important to us.

The feedback from our parents on tour has been overwhelming. Our performance venues were amazing and our concert audiences large – all making for such a rewarding tour. Our performance venues were amazing and our concert audiences large – all making for such a rewarding tour. Thank you for your willingness to work with us so closely to ensure out tour was such a success. It is a memory that our students (and families) will cherish for the rest of their lives.

We arrived home yesterday morning after a thrilling ten days in Japan. The tour worked fantastically with all participants now being your devoted fans. Our hotels were great, our transfers between cities and / or venues worked incredibly well, the provision of various lunches and dinners were fantastic and our various destinations were a treat.

One of the decisive factors in the success of the tour was the ground staff in Japan. Each of the four worked tirelessly for long hours to make our tour such a success. They each deserve the highest of praise and recognition as they were dealing with a very fastidious and demanding client base.

Our teams, both rugby and soccer were each greeted enthusiastically and treated like kings. It was a privilege to witness the interaction between all players and adults from both sides. The games were competitive and the welcomings generous. Two days of outstanding memories. This is what we came for.

The Gullivers team have been fantastic. They have gone far beyond the call of duty and in all dealings , have been most obliging, positive and helpful. I am in the greatest of debt, as you who have tied this all together to make our trip such a huge success.

Cricket Tour to UK & France

The tour was a wonderful success and I just wanted to thank Gullivers for the part you played in organising such a fantastic tour.

All the accommodation we stayed at was excellent. Hotel locations were great and the breakfast at all hotels were excellent. We had an excellent extra-large coach with us during our England journey which was great for luggage. The driver (John) was outstanding also.

Most of the fixtures were really good also and it was good for the boys to experience a variety of Schools including some of the best in England. All the off-field activities were excellent and well organised. Thanks again for locking in the Lords Ashes tickets which were definitely a bucket list day out for many of us!

A big thanks also to the team who has done an outstanding job over the past 12 months putting the tour together. They were more than happy to accommodate our needs and requests for changes and extra activities. And also did a great job the week before we departed when we had to make a late player change due to injury.

Thanks for all your assistance. The 26 boys and 4 staff had an outstanding time!

Thankyou for all the hard work involved in organising our tour! We had such a fantastic experience and truly appreciate everything that went into making it happen. The workshops were excellent – our students absolutely loved them and would have happily done more. Overall, everyone was so friendly and accommodating, and we were so well looked after. We had an absolutely wonderful time! The Expo performance was a major highlight. We’d love to look at booking another tour, potentially for 2027.

The Tour was arranged very well and I would recommend Gullivers to everyone. Sarah kept us well informed and if I had a query, it was answered quickly and expertly. Mike, Dave, Alfie and Badge we all great and very accommodating. A great job by all. Thanks for organising a wonderful and memorable Tour.

Kenneth Crane
Kangaroo Tour, 2025

The three rugby league matches because the seats provided were well placed. The visit to the pre-match Kangaroos training arranged by Alfie (not originally scheduled) was greatly appreciated. For a tour of this type involving several “football” matches as the key events, I think the most important issues are: (A) the quality (location) of the seating at those matches, and (B) the location of the accommodations (usually central to the main tourist interests or transport hubs). This tour scored well on both of these issues.
